Engineering teams can quickly run into trouble when a key employee takes time off without preparing colleagues to handle ongoing work. Christina Rebel of CAD Rooms argues that effective holiday cover requires more than a last-minute handover. Teams need to plan weeks ahead so projects can continue without repeatedly contacting employees during their vacation, says Develop 3D.

A common problem occurs when essential engineering knowledge or files remain accessible to only one person. An absent engineer might check out a top-level assembly, or colleagues may lack the information needed to answer a supplier’s question about component tolerances. Such situations can delay several people or force the vacationing employee to interrupt personal time to resolve an otherwise routine issue.

Rebel recommends beginning preparations two or three weeks before departure. Teams should identify critical knowledge, including assembly logic, supplier contacts, outstanding approvals, and other information known primarily by the departing employee. Important files should be stored somewhere accessible, rather than remaining on a work laptop or behind a VPN that colleagues cannot use.

Access also requires careful management. Giving colleagues permission to view and comment on engineering files does not necessarily mean allowing unrestricted editing. Creating a version snapshot before leaving provides a restore point if something goes wrong. Pending queries should have designated owners, while remote access should be tested before the employee leaves.

The article also emphasizes the value of clear communication. An effective out-of-office message should direct technical, commercial, and supplier questions to the appropriate people.

The objective is not necessarily to make employees completely unreachable. Instead, preparation should ensure that only issues genuinely requiring their expertise interrupt their vacation, and that those problems can be resolved quickly.

Ultimately, holiday-related workflow failures are rarely unpredictable. Treating vacation preparation as project work can protect engineering continuity while allowing employees to return rested rather than spending their time off managing avoidable problems.
